Privacy statement Solid Road Foundation

Solid Road Foundation processes personal data and other information in accordance with applicable legislation under the GDPR (General Data Protection Regulation). Solid Road considers your privacy very important and therefore handles your personal data with care. Your personal data are used solely by or on behalf of Solid Road and will not be made available to third parties without your consent. Below you can read the rules that Solid Road adheres to:

This privacy statement applies to the processing of personal information and data provided by project participants, contacts, volunteers, staff members and donors, as well as data that Solid Road has obtained through your use of and visit to its websites.

Processing of your data

Solid Road keeps a database of participants and, for the newsletters that Solid Road sends and the conferences that Solid Road organises, a database in which personal data of contacts are also recorded.

Participants

Participants are (former) asylum seekers, undocumented migrants and refugees who take part in Solid Road’s projects. The participants database also includes the data of potential participants who want to know more about one of Solid Road’s projects.

For participants who register for return to their country of origin, the following data are stored:
First and last name, date of birth, gender, V-number, nationality, date of arrival in the Netherlands, email address, telephone number, current address in the Netherlands, information about travel documents (valid passport, expired passport or other travel documents), copy of COA card, W-document or residence permit (front and back). In addition, where applicable, V-numbers of the minor children of a participant.

Legal basis: Performance of a contract (facilitating voluntary return) and your consent for data exchange with DT&V and IOM.

After written consent from the participant, data are exchanged with DT&V (Dienst Terugkeer & Vertrek) and IOM (International Organization for Migration). DT&V is an organisation of the Ministry of Justice and Security. The following data are exchanged: first and last name, date of birth, nationality, V-number, gender and, where applicable, the V-numbers of the children.
Information about a participant’s return process is exchanged with DT&V and IOM.

Contacts

Contacts are individuals and/or organisations with whom Solid Road is in touch in connection with the projects and activities that Solid Road carries out.

If you subscribe to a newsletter, the following data are stored:
Your name and email address.

If you register for a conference organised by Solid Road, the following data are stored:
Your name, email address and, where applicable, the organisation you work for.

Legal basis: These data are processed on the basis of your consent.

Website forms

Through our website you can fill in various forms to contact us or request information. These forms are processed via WordPress with Gravity Forms.

Which data do we collect?
Through the forms on our website we only ask for the data that are necessary for the purpose of the form, such as your name, email address and your message or question.

Legal basis: These data are processed on the basis of your consent, which you give by agreeing to our privacy statement when submitting the form.

How do we use these data?
The data that you submit via a form are forwarded by email to our staff so that we can handle your question or request.

Retention period: All data submitted via website forms are permanently deleted after 28 days.

Retention periods

  • Website forms: 28 days after submission
  • Newsletter subscribers: until the moment of unsubscribing
  • Participants and contacts: for the duration of participation or cooperation and as long as necessary for the purposes for which the data were collected

Your rights

You have the following rights with regard to your personal data:

  • Right of access: You can request information about which personal data we process about you
  • Right to rectification: You can have incorrect data rectified
  • Right to erasure: You can request that your data be deleted
  • Right to restriction of processing: You can request that the processing of your data be restricted
  • Right to data portability: You can request to receive your data in a structured format
  • Right to object: You can object to the processing of your data
  • Right to withdraw consent: You may withdraw your previously given consent at any time

Accessing, changing or deleting data

You can request access at any time to the data we have recorded about you, or have these data changed or deleted. You can send your changes by email to Solid Road: info@solidroad.nl

You can also contact us here if you no longer wish to be kept informed of our activities. Solid Road is required to request proof of identity before we may provide you with information about your personal data in our administration. You can also submit a request by letter, stating your name, address, telephone number and a copy of a valid identity document, addressed to the administration of Solid Road, Bisschop Hamerstraat 11, 6511 NA Nijmegen.

Right to complain

If you believe that Solid Road does not handle your personal data properly, we kindly ask you to contact us first. You also have the right to submit a complaint to the Dutch Data Protection Authority. This can be done via: www.autoriteitpersoonsgegevens.nl

E-mail

If you have provided your email address to Solid Road in order to receive a newsletter from Solid Road, you will be informed by email about the work and results of our various projects.
When sending email newsletters, Solid Road uses a system that provides insight into how these newsletters are opened and read. It is also possible to see whether you click on the links in the newsletter. In this way, Solid Road can see whether the newsletters are being read and whether the links in the newsletters are being used.

Visit to our website

Cookies and statistics

Solid Road uses only functional cookies on its website that are necessary for the proper functioning of the website. No consent is required for the placement of functional cookies.

Solid Road does not store statistics about visitors to the website. Your browsing behaviour is not tracked and no visitor data are collected for analytical purposes.

Hosting

Our website is hosted on servers within Europe. Your data are therefore not processed outside the European Union.

Automated decision-making

Solid Road does not use automated decision-making or profiling in which decisions are taken without human intervention.

Security

Solid Road has taken technical and organisational measures to protect personal data against loss or any form of unlawful processing. In this way, Solid Road ensures that personal data are only accessible to staff members who are authorised to do so by virtue of their position and that they only use the personal data for the purposes for which they were obtained.
